Starters and leavers

Offboarding without losing data or leaving doors open

The most valuable IT support task for a small company is also the most neglected: what happens when someone leaves. Microsoft’s documented process starts by stopping the person signing in, then saving mailbox contents, wiping and blocking company data on their mobile device, forwarding email or converting the mailbox to a shared one, and giving a colleague access to their OneDrive and Outlook data. Microsoft notes that after an account is deleted, that OneDrive and Outlook content is kept for 30 days.

Google Workspace has a similar trap. An admin can transfer a leaver’s Drive files to someone else in the organisation, but Google does not support transferring ownership to an external account, so the transfer belongs before deletion; files cannot be moved from a deleted user unless that user is restored first.

Starters

A first day that works, with IT support in place

Without proper IT support, Dubai onboarding goes wrong in small ways: the new starter shares a colleague’s login for a week, is added to the wrong groups, or never enrols in multifactor authentication. We build a short standard setup for your company so each new account looks the same, with the right licence, groups, shared drives and signature from the start.

If your staff also publish to the website, we coordinate CMS access with our website maintenance team so logins are created and removed in the same process.

Neither needs expensive tools, but both are areas where IT support for a Dubai office needs someone to check regularly.

Unsupported laptops

Microsoft’s lifecycle listing for Windows 10 Home and Pro gives 14 October 2025 as the end of support, with version 22H2 as the last release. A machine still running it is no longer receiving the regular monthly security fixes it once did. We identify those devices and plan upgrades or replacements with you, rather than discovering them after a problem.

Email that lands

Google’s email sender guidelines have required every sender to Gmail accounts to set up SPF or DKIM since February 2024, with stricter rules, including DMARC, for bulk senders. If your invoices or quotes are going to spam, the domain records are the first thing we check. Campaign sending is handled by our email marketing team.

Documentation you keep, whoever supports you next

A quiet risk for a Dubai company without proper IT support is that knowledge of the setup lives in one person’s head. As part of IT support we build and maintain a plain register of your systems: which domain registrar holds your domain, where DNS is managed, which admin accounts exist and who controls them, which licences you pay for, which devices are issued to whom, and where backups go. Each change we make is logged against that register with the date and the reason.

The register belongs to you. If you later hire an internal IT person or move to another provider, they start with an accurate picture instead of a guessing game, and nothing depends on us staying involved.

A backup is not the same as a cloud subscription. Deleted data in Microsoft 365 and Google Workspace is only recoverable for limited periods, so we check your retention and backup settings rather than assuming they exist.

Do you support both Microsoft 365 and Google Workspace?

Yes. We administer both, and some clients have a little of each after years of ad hoc decisions. Part of the first review is deciding whether that mix still makes sense.

What response times do you commit to?

We do not sign service level agreements or promise response times. The hours we cover and the way you raise requests are written into the proposal, and we are upfront if a task needs a specialist.

Can you fix hardware faults?

Our support centres on accounts, configuration, updates and settings. For physical repairs or warranty claims we help you work out what is wrong and who to contact, usually the manufacturer or the reseller you bought from.

Do we keep the admin passwords?

Yes. The global or super admin account stays under your control, and we work through a separate admin account you can disable at any time.
