CRM app development in Dubai: field, stock, POS and service apps on your business systems

A practical guide to the mobile apps that sit on top of a CRM or ERP in the UAE: sales rep apps, approval and stock companions, warehouse scanning, POS tills and field service apps, with the FTA invoice rules that shape the last two.

CRM app development in Dubai is rarely about building a new CRM. It is about giving the people who work away from a desk, sales reps, storekeepers, cashiers and technicians, a mobile app that reads from and writes to the CRM or ERP you already run. The app succeeds when it makes one job faster for one role, works when the signal drops, and never becomes a second source of truth.

This guide walks through five app types that UAE businesses commission on top of their business systems, the features that matter in each, and the Federal Tax Authority rules that shape the POS and invoicing side, as of October 2026. It ends with the questions to settle before you brief a developer.

Key points

  • Each role needs its own app or module: sales reps, warehouse staff, cashiers and technicians have different screens, devices and offline needs.
  • The CRM or ERP stays the system of record; the app captures and displays, and a sync layer resolves conflicts.
  • Test your platform’s own mobile client before building a companion app; build only for the tasks it handles badly.
  • The FTA says a tax invoice must be issued and delivered for every taxable supply, and offering to print one on request does not meet that rule.
  • The Ministry of Finance has moved the deadline to appoint an Accredited Service Provider for e-invoicing to 30 October 2026 for businesses above the revenue threshold, with full implementation still set for 1 January 2027.

What CRM app development in Dubai usually covers

Most projects we are asked about have three parts, even when the brief only mentions one. There is the mobile app for the person in the field or on the shop floor. There is an admin panel where a manager assigns work, approves exceptions and sees what happened. And there is an integration layer that moves data between the app and the CRM or ERP, handles failures, and keeps a log you can audit. A CRM app development project in Dubai that budgets only for the first part tends to stall at the third.

The system of record matters more than the app. If customer records live in your CRM and stock lives in your ERP, the app should not quietly keep its own copy that drifts. It caches what the user needs for the day, queues what they change, and hands everything back. When two people edit the same record, the integration decides who wins, and that rule should be written down before development starts.

The other early decision is scope by role. A sales rep needs a customer list, a visit plan and a quote screen. A storekeeper needs a scanner and a count sheet. A technician needs a job list, parts and a signature box. Those are different apps in practice, and a good brief for CRM app development in Dubai names each role, its device and its five most frequent tasks. For the general mobile picture, our mobile app development service in Dubai covers platforms and delivery; this guide stays on business system apps.

The sales rep CRM app: visits, WhatsApp, quotes and offline

Field sales in the UAE often means a rep covering trade customers across several emirates in a day, moving between basements, warehouses and towers where mobile data is unreliable. In CRM app development for Dubai field teams, the app is judged on whether it saves the rep typing in the car park.

Visit planning and check in

The useful version shows today’s route, the accounts due a visit, the last order and open issues for each. A check in records time and location against the account, and a short visit note with outcome codes replaces the evening spreadsheet. Managers get coverage reports without asking reps to fill anything in twice. Be clear with staff about what location data is captured and when; record it at check in, not continuously, unless there is a real business reason.

Logging WhatsApp conversations to the CRM

A common pattern we see in Dubai is trade buyers who would rather message a rep on WhatsApp than answer an email, and conversations on a rep’s personal phone leave with the rep. The cleaner route is the WhatsApp Business Platform connected to your CRM, so messages sit against the contact record. Meta’s documentation explains that a 24 hour customer service window opens when a user messages or calls the business, that free form messages can only be sent while it is open, and that outside it only template messages can start contact, to users who have opted in. Your CRM app development in Dubai should surface that window on screen, so a rep knows whether a reply or an approved template is needed. Our WhatsApp Business API integration guide goes deeper on the platform itself.

Quotes from the field

A rep who can build a quote at the customer’s desk, using live price lists and stock, closes the loop the same day. The app should pull price lists and discount rules from the CRM or ERP rather than storing its own, route discounts above a set level to a manager for approval, and generate the quote document from the same template the office uses. If the quote converts, the order should flow back without anyone keying it in again.

Working offline

Offline is where most CRM app development in Dubai goes wrong. Decide which data each rep carries on the device (their accounts, recent orders, current price lists), how often it refreshes, and what happens when a rep edits a record that changed in the office meanwhile. Show a clear sync status and a list of unsent changes. A CRM app that silently loses a visit note will not be trusted again by a Dubai sales team, however much development went into the rest.

ERP app development in Dubai: companion apps or the vendor’s mobile client

ERP vendors ship their own mobile clients, and the first job in any ERP or CRM app development project in Dubai is to find out how far that client gets you. Take your most common mobile tasks to the real client, on the devices your staff carry, and time them. Where it works, use it. Where it is slow or confusing for a task done fifty times a day, that task is a candidate for a companion app.

The vendor route has real advantages. Microsoft, for example, describes the Dynamics 365 Field Service mobile app as a Power Platform model driven app that can be customised, available on iOS, Android and Windows, with offline use once an administrator configures it. Security, permissions and updates come from the platform. The trade off is that you work inside its screen patterns. If you are on Odoo or Dynamics, our Odoo development page and Dynamics 365 page explain how those platforms are extended; we do not repeat that here.

Companion apps earn their place on narrow, frequent tasks:

  • Approvals. Purchase requests, leave, expense claims and discount overrides, shown as a queue with the documents a manager needs to decide, and an approve or reject that writes straight back to the ERP.
  • Stock lookups. A sales or branch user scans or searches an item and sees available quantity by location, without a full ERP licence screen.
  • Timesheets. Hours against projects or jobs, captured on the day, with the cost codes and approval rules kept in the ERP.

Two rules keep companion apps healthy, and both apply equally to CRM app development in Dubai. They call the ERP through its supported APIs rather than writing into its database directly, so an upgrade does not break them. And they hold no business logic the ERP already owns: tax, pricing and posting rules stay in the ERP. If you need a developer who works inside the ERP itself, see our ERP developer page.

Inventory management app in the UAE: scanning, batch and expiry, cycle counts

An inventory management app for a UAE warehouse lives or dies on scanning speed. Staff wear gloves, work in heat on loading bays and scan hundreds of items a shift, so the app needs large targets, audible confirmation and as few taps as possible between scans. Decide early between dedicated scanners and phone cameras, because the input method changes every screen.

Receiving and putaway

The receiving flow checks goods against the purchase order, flags short or over deliveries, and records where each pallet or carton is put. Where suppliers label goods with batch and expiry data in the barcode, the app should read it from the scan rather than asking the user to type it. Where they do not, the app should make manual entry quick and validated, because a mistyped expiry date is worse than none.

Batch, expiry and picking rules

For food, cosmetics, pharmacy and other dated goods, picking order matters. The app should direct the picker to the batch the ERP’s rules choose, usually first expiry first out, and block or warn when the scanned batch is not the one requested. Expired or near expiry stock should be visible at a glance, with a way to move it to a quarantine location.

Cycle counts

Counting a few locations every day is easier to fit around operations than closing for a full stocktake. The app shows the counter which bins to count, ideally without showing the expected quantity, records the result, and sends variances above a set tolerance for recount or approval. The ERP then posts the adjustment. Keeping stock figures consistent across channels is a separate integration problem, covered in our guide to real time inventory synchronisation.

POS app development in Dubai: tax invoices and e-invoicing

A POS app in the UAE is a tax document generator as much as a till. The FTA’s public clarification on tax invoices says that every VAT registered business making a taxable supply must issue and deliver a tax invoice to the recipient, and that offering to print one only on request does not satisfy that requirement. For POS app development in Dubai, and for any CRM app that issues invoices, the receipt is not optional: it has to be printed, shown or sent every time.

The same clarification sets out what the receipt must contain. A simplified tax invoice, allowed where the customer is not VAT registered or the supply is below the threshold in Article 59(5) of the Executive Regulations, must show:

  • the words “Tax Invoice” clearly displayed;
  • the supplier’s name, address and Tax Registration Number;
  • the date of issue;
  • a description of the goods or services supplied;
  • the total consideration and the tax amount charged.

The FTA explains that on a simplified invoice line items can be shown at the gross value, with the tax shown separately at the bottom, while a full tax invoice must show the net value and tax for each line. It also says rounding should be done line by line to the nearest fils, and that an invoice in a foreign currency must show the tax converted to dirhams with the exchange rate used. Build those rules into the POS logic and test them with your accountant. Our post on UAE VAT invoice requirements for online stores covers the template fields in more detail.

Electronic invoicing, as of October 2026

E-invoicing is a separate system from the receipt. The FTA describes an e-invoice as structured invoice data exchanged electronically between supplier and buyer and reported to the FTA, and says PDFs, Word files, images, scans and emails are not e-invoices. The Ministry of Finance describes a five corner model in which the supplier submits data in the PINT AE format through an Accredited Service Provider, which validates it, sends it to the buyer’s provider and reports tax data. In its announcement of amendments, the Ministry moved the deadline for businesses with revenue above the threshold in Ministerial Decision No. 244 of 2025 to appoint a provider to 30 October 2026, with full implementation unchanged at 1 January 2027. The Ministry of Finance eInvoicing portal is the official source for later phases, and your adviser should confirm which apply to you.

For the app, the practical point is to keep invoice data structured from the first sale: item codes, tax categories, buyer details where relevant, and a clean hand off to the ERP or provider. A POS that only produces a picture of a receipt will need rework.

This guide describes published FTA and Ministry of Finance material as of October 2026. It is not tax advice. Confirm your invoice layout and e-invoicing obligations with a registered tax agent.

Beyond tax, POS apps need split payments, refunds that reference the original invoice, shift closing with cash counts, and offline selling that queues sales without duplicate invoice numbers.

Field service app in Dubai: scheduling, parts, signatures and photos

Air conditioning maintenance, lifts, facilities, pest control, IT support and appliance repair all send technicians to customer sites across the city. A field service app in Dubai is CRM app development in all but name: it covers the customer job from dispatch to sign off.

  • Scheduling. Dispatchers assign jobs by skill, area and time window; technicians see the day’s jobs in order, with address, access notes, contact and service history.
  • Parts. The app shows parts in the van, records what was used against the job, and raises a request when a part is missing, so van stock in the ERP stays right.
  • Customer signature. The customer signs on the device to confirm the work, and the signed service report is sent to them and stored against the job.
  • Photos. Before and after photos, attached to the job, compressed on the device and uploaded when the signal allows, so disputes have evidence.

Microsoft’s documentation for its Field Service app shows the shape of the problem: administrators choose which data is available offline, the app downloads it at first sign in, and changes sync when the device reconnects. It also notes that its newer mobile experience does not currently support working offline. Whatever platform you use, check offline behaviour on the exact screens technicians will use, in a basement plant room, before rollout.

Installing staff apps, and the build versus buy question

Business system apps are usually for your own staff, so they do not need a public store listing. Apple describes custom apps that you make available only to specific organisations through Apple Business Manager, distributed with mobile device management or redemption codes. Google says an app restricted to your organisation on managed Google Play becomes private and available to that organisation only. Pair either route with device management, so a lost phone can be wiped and a leaver loses access on their last day.

Whether CRM app development in Dubai should mean building at all is the bigger decision. If an off the shelf field sales, warehouse or POS product already fits most of your workflow and integrates with your ERP, buying it is often sensible, and the custom work shrinks to the integration. Building makes sense when the workflow is what sets you apart or when no product fits your system mix. We cover that trade off in full in our guide to build versus buy for business software, and the CRM product decision itself in choosing a CRM in Dubai.

Questions to settle before a CRM app development project in Dubai

A developer can only quote accurately against clear answers. Before you brief a CRM app development team in Dubai, work through these with the people who will use the app:

  1. Which roles will use it, on which devices, and what are the five tasks each does most?
  2. Which system holds each piece of data, and which system wins when two records disagree?
  3. Which data must be available offline, and how fresh must it be?
  4. Does the CRM or ERP offer supported APIs for every read and write the app needs, and who owns that integration after launch?
  5. For POS or invoicing, has your tax agent reviewed the receipt and invoice layout, and is e-invoicing data captured in a structured form?
  6. How will the app be installed, updated and removed from staff devices?
  7. Do any screens need Arabic with proper right to left layout for customers or staff?

The cost of CRM app development in Dubai depends mostly on the number of roles, the integrations and the offline scope; our post on what drives mobile app cost in Dubai explains the levers, and starting with one role as a first release is covered in building an MVP app.

Straight answers

Frequently asked questions

Can one mobile app serve sales reps, warehouse staff and technicians?

It can, but it rarely should. Each role has a different screen, a different offline need and a different device, and one app that tries to cover all three ends up slow for everyone. A shared login and shared backend with separate role based apps, or clearly separated modules, usually works better.

Do we need a custom app if our ERP already has a mobile client?

Not always. Start by testing the vendor's own client against your three or four most common tasks with real staff. Build a companion app only for the tasks the client handles badly, and keep the ERP as the place where the data lives.

Will a POS app built in Dubai handle VAT correctly on its own?

Only if the invoice rules are written into the requirements. The FTA sets out what a full and a simplified tax invoice must show and how rounding works, and your tax adviser should confirm the receipt layout before launch. This guide is not tax advice.

How should staff apps be installed on company phones?

Internal apps do not need to be listed publicly. Apple supports private custom apps distributed through Apple Business Manager, and Google lets you restrict an app to your organisation on managed Google Play. Both work best alongside a mobile device management tool.

What should we prepare before asking for a quote?

A list of the people who will use the app, the five tasks they do most, which system holds each piece of data, and where connectivity is poor. With that, a developer can give a fixed written quote, scoped to your brief, rather than a guess.
